Working on the By-law enforcement case workspace

The By-law enforcement case workspace contains all the necessary functions that by-law enforcement officers need to complete the by-law enforcement case. The workspace is accessible from Cloudpermit Dashboard. 

This article describes the functionalities that the By-law enforcement case workspace includes. 

Search

  1. Scroll down to Search in your Dashboard.
  2. Select the tab By-Law Enforcement
  3. Filter cases by selecting case criteria from the Status, Category, and Department drop-down menus.
  4. Cloudpermit displays the data matching your selection on the map under Results by default. Switch to the List view by using the switch on the right of the Results section.

By-law enforcement case workspace

The by-law enforcement case workspace contains the workspace header and various sections. This section describes sections included in the active workspace.

  1. Click the property pin on the map. The case card opens on the right. Click Open Workspace.
     
  2. You will enter the By-law enforcement case workspace. This view contains all the necessary case details and sections.
  3. The workspace header includes property details. 
  4. Clicking on Show Map displays the property on the map. Return to the previous view by clicking Hide Map.
     
  5. Hide Full Data will hide part of the data from the header. Click Show Full Data to display the data. 
  6. Assign the case to another authority by selecting the person from the Assigned to drop-down list.
  7. Check the property owner's details, add other properties, or update the location by selecting the desired functionality from the More Actions drop-down list.
  8. The Current Step progress bar shows the steps of the case.  
  9. The Property Owner and Other Parties display the property owner's data and those who have been invited to collaborate on the case. The data is generated from GIS automatically.
  10. The Events section displays all events for the case.
  11. The Complaints (for This Case) section lists all complaints made for the case.
  12. The Case Descriptionsection allows you to modify the case and location descriptions and redefine the priority (High, Normal, Low) of the case. The case and location descriptions are copied to the case from the complaint. 
    • If the violation is not on the property, select the "In proximity of property" option. 
    • If the violation is not the property owner's responsibility, select "Non-owner violation".
    • If you wish to limit the case description visibility to other departments, select "Limit visibility to other departments." 
  13. Add attachments, like photos and files, to your case in the Case Attachments section by dragging and dropping the files into the drag-and-drop zone or uploading them from your computer.
  14. The Case Notes (Internal) section allows you to make notes of the case. They are visible only internally to persons who have access to the case.
  15. The Letters section allows you to generate a preconfigured letter template for the case.
  16. The Inspections section contains planned, scheduled, and conducted inspections. The section also displays the visit result of each inspection.
  17. If the inspection includes violations and remarks, the same named section appears in the By-law enforcement case workspace.
  18. The Fines, Fees & Payment section comprises all violation fees and bills. You can easily create a new violation fine bill by selecting it from the preconfigured fee item.
