How to enter and work on the Complaints and new cases view

Cloudpermit provides municipal authorities with the By-Law product to manage their citizen complaint. The Complaints and new case view accessible from the Cloudpermit Dashboard is a centralized place to handle all complaints. 

This article describes how to enter the Complaints and new cases view from your Dashboard and how to work on it.  

  1. Click the Open Complaints link in the By-law enforcement section.  
  2. The Complaints and new cases view opens up. 
  3. The view displays all open complaint locations on the map and in complaint cards under Results by default. 

Filtering complaints

The Filter functionality has various category types, like Tall Grass, Old Vehicles, or Garbage. These category types are municipality-based. The Status filter includes statuses that describe the complaint progress status. Cloudpermit provides Open, Reviewed, and Abandoned statuses to choose from. After the selection, the matching filtering date is displayed on the map and as complaint cards under Results.

Entering a case

The Results section has complaint cards. The complaint is in progress if the card contains the Go to Case button. The municipality's bylaw enforcement officers have proved the complaint's validity and created a case for it.

Clicking Go to Case opens the By-law enforcement case workspace.

Searching for properties and creating a complaint

Bylaw enforcement officers can search for properties by the address or mapping them on the map.

Enter the property address in the search text field. Cloudpermit displays the list of best matches. Select the property from the list. Cloudpermit shows ays it as a pin on the map. Also, a complaint card opens to be filled out on the right.

Sorting the complaint cards

Bylaw enforcement officers can sort complaint cards under Results. The sort criteria drop-down includes the following sort criteria:

  • Oldest created first
  • Oldest modified first
  • Recently modified first

Entering the complaint card, viewing the property details, and sending a reply to the complainant

Bylaw enforcement officers can quickly enter the complaint card to view its details from the Results section. After clicking the selected complaint card, the user enters the complaint details. Click the Go to properties link.

You will enter the view to see property details, like related by-law enforcement cases, complaints, and inspections. As an authority, you may also update the property data. 

Note that you will only see the content you are authorized to visit. This means there can also be other content (applications, permits, workspaces, etc.) for this property that is not displayed due to your limited authorization.

Usually, citizens require to receive a reply to their by-law enforcement complaints. The municipal by-law enforcement officers select Send Reply.

The service provider's email template opens with the recipient's email address. The Compliant provides the email address during the complaint creation and gives consent to receive a reply from municipal by-law enforcement officers.  

Editing the complaint card data

Click Edit.

Cloudpermit allows by-law enforcement officers to edit the citizen complaint's data.
